This Privacy Policy explains how Shivarth Softtech LLP (“Nivaso”, “we”, “us”, or “our”) collects, uses, shares, and protects personal information when you use the Nivaso website, mobile applications, and society management services (collectively, the “Service”).

By using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Service.

1. Who we are

Shivarth Softtech LLP is a limited liability partnership registered in India with its place of business in Ahmedabad, Gujarat. We provide a software platform that helps residential societies manage visitors, maintenance, events, parking, amenities, complaints, finance, and related operations.

2. Information we collect

We collect the following categories of personal information:

  • Identity & contact information — name, phone number, email address, profile photo.
  • Society information — society name, wing, floor, flat number, role (resident, committee member, security, staff), tenancy type (owner/tenant).
  • Profile preferences — preferred language, occupation, blood group (optional, used for community emergency information).
  • Visitor & security data — visitor names, photos captured at the gate, vehicle numbers, entry/exit timestamps, QR check-in records, staff entry/exit logs.
  • Financial data — maintenance dues, event pass payments, ledger entries (we do not store full card or bank account numbers; payments are processed by third-party gateways).
  • Communications — notices, complaints, messages, RSVPs, and other content you submit through the Service.
  • Device & usage data — device model, OS version, app version, IP address, crash logs, and basic usage analytics.

We do not knowingly collect personal information from children under the age of 18 without verifiable consent from a parent or guardian. The Service is intended for adult residents and society staff.

3. How we use your information

  • To provide and operate the society management features you and your society have signed up for.
  • To authenticate users, secure accounts, and prevent fraud or unauthorized access.
  • To send transactional notifications (visitor approvals, maintenance reminders, complaint updates, event RSVPs) via push, SMS, email, or WhatsApp.
  • To improve the Service through aggregated, anonymized usage analytics.
  • To respond to support requests and grievances.
  • To comply with applicable laws and lawful requests from authorities.

4. Who we share your information with

We share personal information only as needed and only with:

  • Your society administrators — committee members and authorized roles within your society can see information relevant to their role (e.g. visitor logs, maintenance status).
  • Service providers we use to operate the platform — including cloud hosting, push notification delivery (e.g. Firebase Cloud Messaging), SMS/WhatsApp providers, payment gateways, crash and analytics providers. These providers are bound by confidentiality and data protection terms.
  • Authorities when required by law, court order, or to protect the rights and safety of users.

We do not sell your personal information to advertisers or third parties.

5. Data storage & security

Personal information is stored on secure cloud infrastructure with industry-standard safeguards including encryption in transit (TLS) and access controls. We follow reasonable security practices to protect data from unauthorized access, alteration, disclosure, or destruction. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.

6. Data retention

We retain personal information for as long as your account is active and your society uses the Service, plus a reasonable period afterwards to comply with legal, tax, accounting, and dispute-resolution requirements. You may request deletion of your account and associated data as described in Section 7.

7. Your rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or outdated information.
  • Request deletion of your account and personal data.
  • Withdraw consent for optional data processing where consent is the legal basis.
  • File a grievance with our Grievance Officer (Section 9).

8. Cookies & analytics

Our website uses essential cookies for basic functionality. We may use privacy-respecting analytics to understand traffic patterns. The mobile app may use device identifiers for crash reporting and product analytics, all in aggregated form.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the app, website, or email. The “Effective” date at the top of this page shows when the policy was last updated. Continued use of the Service after changes take effect indicates acceptance of the revised policy.
